What to expect:
- Calendar & Time Management: Anticipate priorities and manage schedules with precision, including booking meetings, conference rooms, and technical resources to keep focus on strategic tasks.
- Travel Management: Plan and coordinate business trips end-to-end flights, hotels, transfers, while handling documentation and expense reporting seamlessly.
- Meeting & Event Coordination: Organize meetings, internal events, and conferences; prepare materials and ensure accurate minutes.
- Communication & Correspondence: Manage internal and external communication professionally, drafting and editing correspondence in English and German.
- Data Preparation & Reporting: Gather and structure data, create impactful presentations, and support management decision-making.
We expect:
- Educational background in business administration or similar qualifications combined with proven experience in executive assistance or office management.
- Exceptional organizational skills with the ability to prioritize and structure complex workflows.
- Proactive, solution-oriented mindset with confidence to make decisions within scope.
- Strong digital skills: proficient in MS Office or Google Workspace and collaboration tools such as Teams and Zoom; eager to adopt new technologies.
- Excellent English communication skills (written and spoken), very good German language skills.
- Flexible, reliable, and hands-on with a strong sense of responsibility and a positive attitude.
- Highest level of integrity and discretion when handling sensitive information.
